WHO IS RESPONSIBLE

The WW Khalsa FC Committee and leadership team, together with the Welfare Officer, are responsible for data protection and for ensuring personal information is handled appropriately.

Information we receive

Registration details are submitted through Microsoft Forms. Donations are processed securely by Stripe, and the club does not collect payment-card details through this website. Children’s information and photographs are only published with the appropriate permissions.

Website analytics

With your consent, we use Google Analytics 4 to understand page visits and whether visitors select registration, donation or enquiry links. Analytics may receive information such as the page viewed, approximate location, device and browser type, and the time of an interaction.

We do not intentionally send names, email addresses, player details, registration answers or payment information to Google Analytics. Our legal basis for this optional processing is consent, which can be withdrawn through the cookie information page.

Google explains how it uses information from sites using its services in its business data information.

Storage and access

Player information is stored securely on our player database, which connects to the club’s attendance application. This allows authorised club officials to manage registrations, maintain accurate attendance records and access essential information needed to run club activities safely.

Direct access to this data is restricted to authorised club officials.

How long we keep it

Player and registration information is retained while the player is registered with WW Khalsa FC and normally for 12 months after leaving.

Google Analytics event-level information is configured for a short retention period of two months. Aggregated reporting may remain available for longer. Some club information may need to be retained longer for legal, financial, insurance, safeguarding, dispute-resolution or governing-body purposes.

Corrections and deletion

Players, parents and guardians may ask us to correct inaccurate or incomplete information, or delete information the club no longer needs. Include the player’s name, the information concerned and the correction or deletion requested.

We may confirm your identity and, for junior players, your relationship to the player.

How we respond

We normally respond within one calendar month. Where appropriate, information will be updated or securely deleted from the player database, attendance application and Microsoft OneDrive. Secure backups may take longer to update.

Contacting the club

Privacy requests should be made privately to the club’s Data Protection Lead at info@wwkhalsafc.co.uk. Please mark the message “Private: Data Protection Request”.

If information must be retained, we will explain why, restrict its use where appropriate and delete it when the relevant retention period ends.
